Privacy notice

This site is run by your coach

The site you're using is operated by an independent coach or training business — your coach. They provide the coaching, set the programs, and generally decide what their program collects about each athlete, why, who on their staff can see it, and how long it stays. Your relationship is with them, and questions about a player's records should go to them first.

4CornersOS is a product of Anvil GTM LLC — the software company that builds and runs the systems behind this site. Your coach runs their business; we keep the software working. We process workspace records to provide the service, not for our own marketing and not for sale. Authorized Anvil GTM personnel may access records when reasonably necessary to operate, maintain, secure, support, or troubleshoot the service, recover systems, improve the software, or comply with law.

The full description of how Anvil GTM handles information — security, AI, aggregated data, sharing and service providers, retention, and your rights — lives in the Anvil GTM Privacy Policy. This notice covers what's specific to this service.

This notice is the online privacy notice for the 4CornersOS software. It is not by itself a consent form — where the law requires consent (for example, a parent's permission involving a child's information), a separate notice and consent step applies.

What this service collects, and why

Everything below comes from the parent, the athlete, or the coach — not from tracking.

Account and parent/guardian information

Parent/guardian name, email, and phone; a password (stored hashed, not in plain text).

Someone has to hold the account and be reachable — for schedules, confirmations, and the magic link that gets a family into the portal.

Athlete profile

First and last name, age, date of birth, graduation year, position, school or travel team, Instagram handle, an avatar or photo, bats/throws, free-text fields like "about the athlete," and coach notes — plus an emergency contact's name, phone, and relationship.

This is the player's identity inside their development — what a coach needs to build a useful plan and, if something happens in a session, to reach the right adult immediately.

Uploaded video and photos

Athlete videos and photos — the likeness of a minor. Your coach can choose to publish selected media to Instagram; when they do, the system tags the athlete and records what was published and where. Videos are stored privately and shared through expiring links; profile photos and program images are used for public display — choose them with that in mind.

Video is the spine of real development, and a child's video and photos are among the most sensitive things in the system. Publishing only happens when your coach deliberately does it.

Performance metrics and evaluations

Metrics like exit velocity and pop time, plus your coach's written evaluations about the athlete's body, skills, and development plan.

Progress only means something if it's measured — this is how a family sees real improvement over months.

Messages, comments, feed posts, and announcements

Comments on clips, team-feed posts, portal messages, and announcements — written by parents and coaches.

Development is social. This is the conversation that keeps a player engaged and a family informed.

Bookings, events, and inquiries

Contact details and the athlete's name for bookings and event registrations, plus public contact and intake forms.

Why we collect it: To hold a seat and run a program, your coach needs to know who's coming. Additionally, to streamline the experience for returning families, the platform securely retains basic intake identifiers (such as parent email and athlete name). If you register for future events with the same coach, entering your email allows the system to recognize your historical relationship and expedite the checkout process. This data is used strictly to facilitate these services and provide coaches with basic internal roster analytics; it is never sold, never shared with data brokers, and never used for cross-site advertising profiling. A hashed IP address and browser user-agent are also stored temporarily to limit spam and abuse.

Collected automatically

Basic, cookieless usage analytics on the visitor site (production only), and first-party functional cookies — your sign-in session, short-lived checkout tokens, and a little interface state. Today there are no advertising or cross-site trackers, and the family portal itself has no AI features.

Children and parents' rights

Coaches use 4CornersOS with youth athletes — roughly grades 5 through 12, which includes children under 13. Your coach decides whether children participate in their program and what their program collects, and is responsible for the notices and permissions the law requires for their athletes; 4CornersOS provides the technology used to manage those records. Everything under "What this service collects" can describe a minor.

By default, the parent or guardian holds the account and the athlete accesses the portal through them; an older, high-school-age athlete may hold their own account with a parent on file. Only a parent or guardian should create an account for, or submit information about, a child under 13. When a parent creates a family account involving a child under 13, signup includes a Verifiable Parental Consent step that complies with the Children's Online Privacy Protection Act (COPPA). This requires the parent to review and affirmatively accept this notice, confirm their identity via a verifiable method (such as a valid payment card authorization step or an email confirmation workflow), and review your coach's waiver. This explicit consent is securely recorded with its date, time, and policy version before any minor data or media can be uploaded or processed. Parents retain the absolute right to opt out of or restrict any external social media publishing or features enabled by the Coach at any time.

A parent or guardian may, at any time, ask to:

  • Review the personal information held about their child;
  • Correct it;
  • Have it deleted;
  • Withdraw consent to further collection and use — which may mean the child can no longer use the service.

Start with your coach; you can also email us (address below) and we'll route the request. Reasonable verification that you're the child's parent may be needed first. The software collects only what its features need — a child's participation shouldn't require more than that.

Payments

Your coach connects their own Stripe account and is the merchant of record — the seller on the receipt, responsible for what you buy, including refunds and disputes. Anvil GTM takes no fee on these transactions and holds no balance. Checkout is hosted by Stripe; card numbers go directly to Stripe and are not sent to or stored on our servers. Connected services

Your coach can connect outside services to their workspace — calendars, payments, email, social media, and other business tools. Each connection is your coach's choice, is scoped to their own accounts, and is used only for the features they've turned on.

Google Calendar

With your coach's permission, availability and bookings sync with their Google Calendar; when a visitor books, they're added as an attendee on the coach's calendar.

4CornersOS's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Google Calendar data is used only to provide these scheduling features — not transferred or sold, not used for advertising, and not used for credit decisions.

Meta / Instagram

With your coach's permission, their Instagram and/or Facebook accounts connect for publishing content, managing comments, reading post insights, reading and managing direct messages, and — for Facebook/Meta — pages, advertising, and business management, depending on the connection. When messaging is connected, the identities and message bodies of people who send your coach direct messages may be stored. To ask for deletion of data obtained through Meta/Instagram, contact us or remove the app's access from your Meta/Instagram settings.

Microsoft

Some workspaces connect Microsoft (Graph) for calendar and email features, used only to provide those features to the coach.

Your state privacy rights

Depending on where you live, state law may give you additional rights over personal information, such as rights to access, correct, delete, or obtain a copy of it. You can exercise any of these rights through your Coach or by contacting us as described below, and we will honor rights requests as required by the law that applies to you. We do not sell personal information and we do not share it for cross-context behavioral advertising.

Questions and requests

For anything about a player's records — including access, corrections, or deletion — start with your coach. There is no self-serve export or account-deletion button today; a person handles each request, by email, and anything sent to us gets routed. When a player's record is deleted, the athlete's profile and content are removed; limited billing and tax records may be retained where the law requires it, and residual copies can persist for a period in backups before they age out.
